It is possible to connect your HRIS or Payroll platform with Alleo. Once this integration is in place, we will automatically synchronise employee mutations in this platform on a daily basis.
This greatly reduces the amount of manual work involved to provide your employees with access to the Alleo app, and it reduces the chances of manual errors.
Before setting up an integration, please make sure to read through the article below.
Setting up an integration
Please refer to integrations specific documentation to set up an integration. If you use a different HRIS or Payroll platform, please inform us via admin-suppoer@alleo.nl.
We expand our integrations based on popular demand, so we are always interested to learn which platforms are missing.
What happens when an integration is activated?
Once an integration is activated, a sync will take place twice a day between Alleo and your HRIS/payroll platform:
At 02:00 GMT all new employee onboardings, and updates in personal info of employees already known to Alleo will be processed (please note that changes in an employee email address are not automatically processed)
At 18:00 GMT onboardings and updates are processed once again, in addition employees with an offboarding date for that day will be offboarded from the Alleo app. This means employees who are offboarded always have access to the Alleo app till the end of their last work day (GMT time).
Which employee data is synchronised?
When setting up an integration, you can typically control which data is shared with Alleo. At least the following information is required to onboard an employee to the Alleo app:
First name
Last name
Email address (business or private)
Employment status for on / offboarding
Optionally we can retrieve the following data, which may be required depending on the Alleo functionalities you use:
Birthday
Work anniversary (first hire date)
Employee offboarding and the ending of Monthly benefits
Employees who receive a Monthly budget in Alleo can make use of Monthly benefits. When an employee is offboarded from the Alleo app these monthly benefits are cancelled by Alleo.
In many cases a 30 day notice period applies, it is therefore vital that offboardings are processed at least 30 days in advance in your HRIS/Payroll platform. Any benefit spending after the offboarding date of an employee caused by a late offboarding will be invoiced.
Auto assigning budgets to employees
When employees are onboarded via an integration, budgets can be auto assigned in two different ways:
Assign the same budget to all employees
This option is the most straightforward but only works if all employees need to receive the same budget. You can request this feature to be enabled after setting up an integration by contacting your Customer Success Manager or admin-suppoer@alleo.nl.
Assign a specific budget amount per employee
This is a more advanced option, requiring you to add a custom field in your HRIS or Payroll platform. Follow the instructions in this article to set this up.
Important notes in regards to integrations
The employee email address serves as the unique identifier.
This means that if you change the email address in the HRIS/Payroll platform), the email needs to be adjusted in Alleo as well.
You can change the email address of the employee by logging in the Alleo Portal.
Make sure to process the email change in both platforms within the same workday (before 18:00 GMT). Failing to do so will result in the same employee being onboarded again in the Alleo app with the new email address.
Monthly budgets are always assigned on the 1st day of month.
Therefore please make sure that employees are offboarded per the end of the month. An employee who is offboarded per the 1st of month will receive a full month of budget which can still be spend till 18:00 GMT that dat.
